 SUP Witches Festival - 2025 Vendor Contract/Agreement

EVENT DETAILS

DATE: Sunday, October 12, 2025 (Rain-date: Sunday, October 19, 2025)

TIME: 12-4pm SET UP: 10:00am-12pm TEAR DOWN: 4pm-5pm

LOCATION: Kingsland Point Park, 299 Palmer Avenue, Sleepy Hollow, NY

FEE: $150 - $250

  • $150-$200: Witchy Wares & Services (10x10 tent)

  • $200: Wicked Eats & Non-Alcoholic Brews (10x10 tent)

  • $250: Wicked Eats (trucks) & Alcohol Vendors

Vendor space is limited and can only be guaranteed with the receipt of this contract and payment.

Vendor Agreements/Contracts are sent to vendors whose applications have been reviewed and accepted by the SUP Witches Festival Committee. Contracts submitted without application approval from the committee are not valid and payment will be returned.

VENDOR CONTRACT

VENDOR hereby contracts with Rivertowns SUP & Yoga for space at the SUP Witches Festival as follows:

1.              VENDOR agrees to pay the vendor fee as described. VENDOR agrees to accept space assigned and will not sub-let to anyone else.

2.              Neither Rivertowns SUP & Yoga nor the Village of Sleepy Hollow will be responsible for any injury that may arise to VENDOR, their employees, agents, guests or customers; or for the loss, theft of or damage to any food, display, merchandise, samples or vehicle from any cause whatsoever while in transit to or from, or while participating in the SUP Witches Festival. By executing this contract, VENDOR agrees absolutely and irrevocably to waive and release any claim it may have against Rivertowns SUP & Yoga, the Village of Sleepy Hollow, their officers, officials, agents, employees, or volunteers.

3.              When ACTS OF GOD or any other causes not within the control of Rivertowns SUP & Yoga or the Village of Sleepy Hollow make it impossible for the VENDOR to occupy the Festival premises, then in such case Rivertowns SUP & Yoga and the Village of Sleepy Hollow, their officers, officials, agents or employees are jointly released from any and all claims for damages that may arise as a consequence thereof.

4.              The VENDOR also agrees to the following conditions of this contract:

a.              Set up shall be completed between 10am and 12pm on the day of this event, October 12, 2025.

b.              If available for the rain-date, as indicated in the form below, VENDOR shall be present should the event be rescheduled due to poor weather conditions.

c.              VENDOR must provide it’s own supplies (tent, table, chairs, etc. and should not exceed a 10’x10’ square).

d.              Only the type of products/food specified above may be sold.

e.              Rivertowns SUP & Yoga shall be entitled to close down a VENDOR at any time for failure of VENDOR to perform, observe and comply with any term set forth in the contract.

f.              VENDOR shall not be entitled to a refund of the FEE should VENDOR, for any reason, be unable to participate after acceptance.

g.             Rivertowns SUP & Yoga will determine where VENDORS set up.

h.             All pertinent laws, ordinances and regulations pertaining to health and public safety shall be strictly observed.

i.              Food VENDORS shall have appropriate license, insurance, and local health department permit.

j.              VENDOR will cooperate by keeping it’s area clean and will not leave any trash or other items behind.

k.             VENDOR will begin to tear down at 5pm and be out of the Park by 5pm on the day of the event.
